Last updated: [DATE]
These Terms and Conditions apply to the use of the DSET website and, where applicable, registration for, attendance at, participation in, sponsorship of or exhibition at a DSET event.
Please read them carefully.

DSET Ltd
Company number: 12820955

DSET events are organised and delivered in conjunction with Ruddy Nice Ltd.

2. Website use
You may use the DSET website for lawful personal and professional purposes.
You must not knowingly:
attempt to gain unauthorised access to the website or associated systems;
introduce malicious software, code or material;
interfere with the operation or security of the website;
use automated methods to extract substantial quantities of website content without permission;
misrepresent your identity or organisational affiliation;
use information obtained through the website for unlawful purposes; or
use DSET intellectual property in a way not permitted by these Terms.
We may restrict access to the website where we reasonably believe misuse, attempted misuse or a security risk has occurred.
3. Website information
We take reasonable care when preparing information published on the DSET website.
Conference programmes, speakers, exhibitors, sponsors, timings, venues and other event information may nevertheless change.
Website content is provided for general information and event administration purposes and should not be regarded as professional, legal, security, defence, procurement or technical advice.

4. External websites
The DSET website may contain links to third-party websites or services.
Those services are operated independently and DSET is not responsible for their availability, security, content or terms.
You should review the terms and privacy information of third-party websites before using them.
5. Intellectual property
Unless otherwise stated, the content of the DSET website and DSET-produced event materials, including branding, design, text, graphics, photographs, videos, logos and other materials, is owned by or licensed to DSET or its partners and is protected by applicable intellectual-property law.
You may view and download reasonable amounts of publicly available material for legitimate personal or internal professional use.
You may not reproduce, commercially exploit, republish or substantially distribute DSET materials without prior written permission unless another licence expressly permits you to do so.
Intellectual property belonging to speakers, exhibitors, sponsors and other third parties remains the property of its respective owner.
6. Event registration
Registration for a DSET event is subject to availability and acceptance by DSET.
Registration may be administered through a third-party registration provider.
You are responsible for ensuring that information supplied during registration is complete and accurate.
DSET may contact you where further information is needed to verify your registration or ticket category.
7. Ticket eligibility
Where discounted, complimentary or restricted ticket categories are offered to particular communities, eligibility requirements will apply.
Military, Government and Academia ticket categories are intended for individuals who meet the eligibility criteria stated during registration.
DSET reserves the right to request reasonable evidence of eligibility and to refuse, cancel or reclassify a registration where the eligibility criteria are not met.
Where reclassification results in an additional fee, attendance may be conditional upon payment of the appropriate ticket price.
8. Admission and event security
DSET operates within the defence and security community and takes event safety and security seriously.
Attendees must comply with reasonable instructions issued by DSET, the venue and authorised security personnel.
DSET may require attendees to:
provide identification;
wear and display an event badge;
use only the badge issued to them;
comply with venue access procedures;
observe photography, filming and recording restrictions;
respect areas designated as restricted or controlled; and
comply with applicable safety and security requirements.
Event badges are personal and must not be transferred unless DSET has expressly authorised a substitution.
DSET reserves the right to refuse admission or require an individual to leave where reasonably necessary for safety, security, unlawful behaviour, serious misconduct, material breach of these Terms or failure to follow reasonable venue or organiser instructions.
9. Sensitive and restricted information
Attendance at DSET does not authorise the disclosure, discussion, recording or distribution of classified, security-sensitive, export-controlled, commercially confidential or otherwise restricted information.
Participants remain responsible for complying with any obligations applying to information in their possession or control.
DSET should not be used as a forum for knowingly communicating information where disclosure would breach a legal, contractual, security or professional obligation.
Nothing published on the DSET website should be interpreted as requesting classified or unlawfully disclosed information.
10. Photography and recording
Photography, filming and audio or video recording may take place during DSET events.
By attending, you acknowledge that incidental images or recordings of attendees may be captured as part of general event coverage.
DSET may use event photography and recordings for reporting, documentation, communications and promotional purposes in accordance with our Privacy Policy.
Certain sessions, exhibits, demonstrations or areas may prohibit photography or recording. Attendees must comply with any such restriction.
Attendees wishing to raise a specific concern about photography should contact the DSET team.
11. Speakers and programme changes
Speakers, presentations, demonstrations, exhibitors, activities, schedules and programme content may change.
DSET reserves the right to make reasonable changes to the programme, timings, format, location or speakers where circumstances require.
A change to an individual speaker, presentation or programme item will not ordinarily constitute cancellation of the event.
12. Attendee cancellations and substitutions
[CONFIRM DSET POLICY BEFORE PUBLICATION.]
Recommended structure:
Attendee substitutions may be accepted before the event, subject to notification to DSET and any applicable eligibility requirements.
Cancellation requests must be made in writing.
[INSERT REFUND PERIODS, ADMINISTRATION FEES AND CUT-OFF DATES.]
Failure to attend does not automatically entitle a registrant to a refund.
Nothing in these Terms excludes any cancellation or refund right that cannot lawfully be excluded.
13. Exhibitor and sponsor bookings
An exhibitor or sponsorship booking is not confirmed until it has been formally accepted by DSET and any required payment terms have been satisfied.
DSET reserves the right to decline an application for exhibition or sponsorship where reasonably necessary, including where the proposed participation is incompatible with the nature, safety, security or professional purpose of the event.
Exhibitors and sponsors may not sub-let or transfer stand space or allocated sponsorship benefits to another organisation without prior written permission from DSET.
14. Exhibitor equipment and property
Equipment, materials and property brought to an event by an exhibitor, sponsor or attendee remain their responsibility.
DSET does not accept responsibility for loss, theft or damage except to the extent that liability cannot lawfully be excluded.
Exhibitors are responsible for arranging appropriate insurance for their property, activities and personnel.
15. Exhibitor insurance and responsibility
Exhibitors and contractors must maintain insurance appropriate to their activities, including appropriate public-liability cover where required.
Exhibitors are responsible for damage caused by their personnel, contractors, equipment, exhibits or activities to the extent that responsibility arises under applicable law or contract.
Any minimum insurance level required for a particular event will be communicated as part of the exhibitor documentation.
16. Exhibitor cancellation and substitutions
[CONFIRM COMMERCIAL POLICY BEFORE PUBLICATION.]
The existing DSET position is that personnel substitutions may be made and exhibitor or sponsor cancellations after acceptance remain payable in full.
If that policy is to continue, recommended wording is:
"An exhibitor or sponsor may substitute appropriate personnel by notifying DSET in advance. Once an exhibition or sponsorship booking has been formally accepted, cancellation by the exhibitor or sponsor does not remove the obligation to pay the agreed charges unless DSET expressly agrees otherwise in writing."
Any separate signed sponsorship, exhibition or commercial agreement will take precedence where its terms conflict with this section.
17. Event postponement, relocation or format changes
Events may occasionally be affected by circumstances outside DSET's reasonable control.
Where reasonably necessary, DSET may change the date, venue, programme, duration or delivery format of an event.
Where this happens, DSET will aim to communicate material changes to registered participants as soon as reasonably practicable.
Existing bookings may, where appropriate, be transferred to the rescheduled or revised event.
18. Events beyond our reasonable control
DSET will not be responsible for failure or delay caused by events beyond its reasonable control.
Such events may include severe weather, fire, flood, epidemic or pandemic, civil emergency, industrial action, failure of essential infrastructure, government action, national mourning, terrorism or security incident, war or armed conflict, venue closure or other comparable circumstances.
If an event cannot proceed, DSET will determine the appropriate response having regard to the circumstances, contractual commitments and costs already incurred.
[THE FINANCIAL/REFUND FORMULA FOR EVENT CANCELLATION SHOULD BE REVIEWED LEGALLY BEFORE PUBLICATION.]
19. Travel and accommodation
Unless expressly included within a purchased package, attendees, exhibitors and sponsors are responsible for arranging their own travel, accommodation, visas, permissions and associated expenses.
DSET is not responsible for losses arising from independently booked travel or accommodation where an event is changed, postponed or cancelled, except where liability cannot lawfully be excluded.
Participants are encouraged to consider appropriate travel and cancellation insurance.
20. Conduct
DSET aims to provide a professional environment for military, government, industry, academia and other participants.
Attendees must behave lawfully and professionally and must not engage in harassment, threatening behaviour, deliberate disruption or other conduct that materially interferes with the safety, security or participation of others.
DSET may take reasonable action in response to serious or repeated misconduct, including removal from the event.
21. Demonstrations and equipment
Exhibitors or participants displaying equipment, vehicles, systems, simulations or other technology must follow applicable event, venue, safety and security instructions.
Any additional requirements applying to live demonstrations, unmanned systems, specialist equipment or controlled areas will be communicated separately where relevant.
22. Compliance with law
Participants remain responsible for ensuring that their attendance, exhibits, demonstrations, technology, materials and business activities comply with applicable law and regulation.
This includes, where relevant, applicable export-control, sanctions, intellectual-property, safety and security obligations.
DSET's acceptance of an exhibitor, sponsor, speaker or attendee does not constitute a representation that their products, services or activities satisfy any particular legal or regulatory requirement.
23. Personal data
Personal information collected in connection with the website or an event will be processed in accordance with the DSET Privacy Policy.
24. Liability
Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Subject to those limitations, DSET will not be responsible for indirect or consequential loss arising from use of the website or participation in an event where such liability may lawfully be excluded.
Commercial exhibitors and sponsors may also be subject to additional liability provisions contained within their individual agreement or booking documentation.
25. Changes to these Terms
DSET may update these Terms periodically.
The version published on the website at the time of the relevant transaction or event will apply, subject to any separate written agreement between DSET and the relevant participant.
The date of the latest revision will appear at the top of this page.
26. Governing law
These Terms are governed by the laws of England and Wales.
The courts of England and Wales will have jurisdiction, subject to any mandatory legal rights that apply to an individual or organisation in another jurisdiction.
